Special Data Protection Information for EURO DEFENCE EXPO (EUDEX)
Due to the special nature of the event as a defense trade fair and the simultaneous NATO-JAPCC Conference, increased security requirements apply for participation in EUDEX.

3. Categories of Processed Data
As part of the accreditation and ticketing process, we process the following categories of data:
- Full name (first name, last name as stated on official ID)
- Date and place of birth*
- Place of residence, including country
- Identity document details (document type and document number) for unique identification during access control*
- Contact and order data
- Structural data (professional position, area of responsibility, economic sector, interest in offer)
4. Purpose of Processing and Legal Basis
The processing is carried out for the purpose of identity verification, personalized access control, and to ensure event security.
Legal basis: Our legitimate interest pursuant to Art. 6 (1) (f) GDPR.
Our legitimate interests include in particular:
- The protection of life and limb of all participants, exhibitors, and employees.
- The special protection of exposed target persons (e.g., international delegations and VIPs).
- The prevention of espionage, sabotage, and unauthorized access to security‑relevant information or technologies.
- The defense against terrorist threats and politically motivated disturbances.
Note: Your data marked with an asterisk (*) will not be used for any other purposes, in particular for advertising purposes.
5. Reliability Check (ZVÜ) and Recipient
If necessary to ensure security, your data may be transferred to the relevant security authorities for the purpose of conducting a background check.
In principle, the authorities only provide feedback to MESSE ESSEN GmbH on whether or not there are security concerns regarding access (“clearance status”).
6. Storage Period
Your data collected for security purposes will be deleted after the event has ended in accordance with short deletion periods, provided that there are no legal retention obligations to the contrary.
7. Your Right to Object under Article 21 of the GDPR
As processing is based on legitimate interests, you have the right to object to this processing at any time for reasons arising from your particular situation.
Important note: The collection and verification of your data is a mandatory requirement for accreditation to EUDEX. In the event of an objection, no identity check can be carried out, which will result in exclusion from the event.
8. Your Other Rights as a Data Subject
In addition to the aforementioned right to object, you also have the following rights vis‑à‑vis MESSE ESSEN GmbH, provided that the respective legal requirements are met:
- Right to information (Art. 15 GDPR): Information about whether and which personal data we process about you.
- Right to rectification (Art. 16 GDPR): Immediate correction of incorrect or incomplete data.
- Right to erasure (Art. 17 GDPR): Erasure of your data, provided that processing is not required to fulfil a legal obligation or public interest (taking into account the time limits specified in section 7).
- Right to restriction of processing (Art. 18 GDPR): Restriction of processing, e.g. if the accuracy of the data is disputed or processing is unlawful.
- Right to data portability (Art. 20 GDPR): Receipt of your data in a structured, commonly used and machine‑readable format or transfer to another controller.
9. Right to Lodge a Complaint with a Supervisory Authority
In accordance with Art. 77 GDPR, you have the right to lodge a complaint with a data protection supervisory authority if you believe that the processing of your personal data is unlawful.
